It is time to update your “skills” with document capture

With each passing year, science fiction increasingly seeps into our homes and contemporary life. The latest incursion has come in the form of internet connected speakers equipped with microphones. You probably know these devices and may have one, like the Amazon Echo, Google Home and Apple HomePod. As consumers adopt these devices, software developers are integrating capabilities that make their core services more valuable and useful. This same trend is happening in cloud centric business applications, like the Box content management platform. As adoption of more intelligent cloud services grows, so too does the opportunity to increase the flow of content to them with document capture technology.

Over the past twenty plus year, many organizations have deployed some form of electronic content management system (ECM), including Microsoft SharePoint, IBM FileNet and many others. In the last ten or so years, file-sync and share platforms, hosted in the cloud, have taken hold as mainstream, easy to deploy file storage and sharing solutions. Certain platforms, particularly Box, have deployed a growing list of ECM-like features, like metadata tagging, that make better use of the content they store. As cloud content storage becomes more mainstream, demand for integrated and robust information and document capture capabilities is also growing, creating new opportunities to leverage these new platform capabilities, including one that is called Box Skills.

 

“Hey Alexa… what exactly is a skill?”

 

Before “skills” entered the lexicon of business applications, it originated in the ever expanding world of Amazon consumer products and services. With the adoption of in-home smart assistants, came the concept of Alexa “skills”.  Alexa “skills” leverage a combination of voice recognition, natural language processing, the internet-of-things, artificial intelligence (AI) and task automation to provide us, consumers, with Star Trek like capabilities in the middle of our living spaces. Many “skills” deliver small and niche features, but they also represent real-world trials and technology adoption that is changing the way humans engage with machines to accomplish relevant and often semi- or unscripted tasks.

 

At the start of 2016, not long after the launch of the Amazon echo, there were less than 150 Alexa skills. At the time of this post, there are an estimated 40,000 skills available for Amazon Alexa enabled devices, providing task automation for everything from ride-sharing, to music services and thermostat control.

That’s a massive proliferation in a relatively short time. The trend is so pervasive, even Saturday Night Live weighed in on the trend with a skit featuring “Alexa Silver” for seniors. Sounds legit to me.

 

It seems like only a matter of time before developers turn out just the right skills that turn this novelty into a must have capability. And, as it turns out, this same skills concept is now sprouting int the world of business and content services.

 

Thinking in and outside of Box, with Box Skills

 

At its annual customer conference, Box Works, held in San Francisco in late August of 2017, Box CIO Jeetu Patel introduced a new collection of services branded Box Skills.  Sound familiar? In the case of Box, there’s no speaker or microphone, but there is a lot of business content from thousands of customers and more than 60,000,000 end users. Like the developer program for Alexa Skills, Box introduced a series of application programming interfaces, documentation and related developer tools that enable independent software developers and customers to integrate artificial intelligence services from IBM Watson, Microsoft Azure and Google CloudPlatform.

 

Box Skills is currently operating as a limited beta program for a few hundred enterprise users. But, the company shared more information about these services in the spring of this year. The primary skill capabilities include three core content types, with related analytic services:

  • Image Intelligence

○ Recognition and categorization of an image object

○ Text extraction from images

  • Audio Intelligence

○ Speech transcription

○ Keyword identification

  • Video Intelligence

○ Speech transcription

○ Keyword identification and facial recognition

 

During a webinar in May of this year, Box shared a few use cases that they saw as having a potential fit for Box skills, like on-boarding new healthcare patients, adding more rich content like video and audio, with the ability to extract relevant content. Another use case focused on processing image files for marketing purposes to create more accurate digital asset libraries and supporting promotional tools. In each case, the services are rendered with little or no set up or configuration by the user. The application passes the document, video, audio, or image file to the AI platform and receives a series of results parsed out as text or meta data tagging.

 

It’s too early to assess when Box Skills will have a meaningful impact on the productivity of Box users, but the trajectory is clear given the parallels with Alexa Skills. The more end users get access to these integrated, AI driven technologies, the more likely they are to find a valuable use for them and the more accurate the AI platforms will become at extracting meaningful data from the content stored in a Box repository. The pent-up need for efficient understanding of content in business extends back to the beginning of modern, high volume business.

 

To underscore this demand, a TechTarget article from August 30 includes an interview excerpt with Box Skills beta user Rich Guerra, head of application development of Farmers Insurance. Quoting from the article: “he’s looking forward to using Box Skills Kit to develop AI applications for adjusters to enable them to work with videos and voice recording transcriptions from customers.”

 

With the proliferation of paper and digital content, employees are overwhelmed and need help. We just can’t read every document, watch every minute or video or transcribe every audio file. Box Skills signals a first step to mainstream content analytic services.

 

The Future of Capture requires skills

 

The Box Skills reference provides a very clear signal to the world of document capture. How do you connect capabilities like Box Skills to the specific tasks and jobs that people engage in when working with documents? How do we bring these capabilities within reach to the end-users who need them most, so they can be put through trials, tested, fixed and adapted? Believe it or not, it all starts with the integration that exists today for just about any mobile device, desktop PC, web browser and MFP. If you’re thinking it’s a long time and far distance before your organization can take advantage of the next generation of “skills” think again.
